Already using RedChirp and Tock? Turning on the integration takes just a few minutes. Complete instructions are available in RedChirp under Organization Settings > Integrations > Tock. Once the integration is enabled, all new Tock reservations will trigger whichever automated reservation messages you turn on and customize in your RedChirp account.
Several automated reservation messages are available to customize and turn on. Choose whichever combination of the following works best for you:
Reservation created - This text message will go out automatically whenever a new reservation is created.
Reservation updated - Automatically text your visitors to confirm updates when the date, time, or the number of people changes.
Reservation canceled - This text message will go out automatically when a reservation is canceled.
Reservation reminder: one month before - For your guests that plan far in advance, keep their excitement up by automatically texting them a friendly reminder when their upcoming reservation is one month away.
Reservation reminder: one week before - Keep the reservation with your winery top of mind as your guests plan the final details of their trip with an automatic reminder one week before their visit.
Reservation reminder: one day before - This automatic reminder is one of the most popular automated messages in RedChirp. Catch any last-minute changes, gather important details, and even ask for confirmation one day before their reservation.
Reservation reminder: the morning of - RedChirp will begin trying to send this automated message around 8 am to everyone with reservations on the schedule today.
Reservation reminder: it’s almost time - It’s easy to forget the time and fall behind during a busy day of tasting. This automated text will send out a friendly reminder 2 hours before their reservation to help keep your visitors on time.
When setting up your automated reservation messages, you’ll be asked which phone number you would like each to come from. Choose any phone number in your RedChirp account, including individual numbers, team numbers, or even your main landline if we have already text-enabled that number for you.
The message itself is totally automated, but it comes from a phone number your customers recognize, may have already used to communicate with you, and can easily use to text with you again in the future.
Because these automated reservation text messages come from a regular phone number in your account, it’s no problem if customers need to reply. RedChirp will handle the incoming text message like any other. The right person or people on your team will be notified, and you’ll be able to seamlessly continue the conversation, human to human, on the same thread.
RedChirp provides you with templates that are ready to turn on with just a few clicks but feel free to customize your messages to your heart’s content. Your message can dynamically insert the guest’s name, the number of guests in the reservation, and the date and time of the reservation so it’s totally customized and supremely helpful for each guest.
When launching a new automated message, we recommend you start with the message in manual mode. RedChirp will prepare the automated text messages in this mode, but will not send them until and unless you take a specific action. Most users don’t take any action to send these messages, but instead, use this as an opportunity to review and get comfortable.
Let the message(s) run in manual mode for a few days. Then check to make sure you see the messages you’re expecting, and you’re happy with the content. Once you have completed your review, you’ll feel 100% comfortable turning the message(s) to automatic mode. RedChirp will continue preparing, but now also send the messages as well, all according to your settings.
No one’s data is perfect, and every winery has numbers on file that are either landlines or out of service. That’s not a problem at all! RedChirp will check each phone number before sending an automated message. If the number is out of service, a landline, or that customer has previously opted out of receiving your text messages, RedChirp will automatically make sure the automated message does not go out.
Each automated message keeps a running report that includes the date and time it was prepared, the customer’s name and phone number, the full text of each message, and its status including if the message is pending, was successfully sent, has expired, or was not sent and why. This table also includes a quick link to go view the conversation in which each message was sent.
